Terms and Conditions

1. Information to be provided by the Student
The Student must have completed Grade 10 or be at least age 15 in order to register.  The Student will provide the Oxford Summer Academy with their full name, date of birth, gender, home address, email address, and, the name and contact details of a parent, guardian or carer.  Any special medical, educational, accommodation or dietary requirements should be provided not later than thirty days prior to the first day of the program.

2. Booking Deposit
On receipt of an application form, an invoice will be issued. A non-refundable deposit of GBP 500 is payable within 14 days of the invoice date to secure the booking.  Currency Exchange Rate Charges, bank charges, Credit Card Charges and other similar expenses associated with the Booking Deposit are the responsibility of the Student.

3. Balance Payment
The total remaining balance shall be paid by the Student to The Oxford Summer Academy not later than February 1st.  All payments shall be made by the Student to The Oxford Summer Academy in GBP.  The Balance Payment will include a repayable charge of GBP 300 which is taken as a deposit to cover expenses or any damage or loss caused by the Student. This is repaid, less expenses/damages, at the end of the program in cash to the student.  Currency Exchange Rate Charges, Credit Card Charges and other similar expenses associated with the Balance Payment are the responsibility of the Student.

4. Cancellation
No refund of the booking deposit will be made under any circumstances. Please note the insurance details in section 5.  Any cancellation must be in writing and can only be on the following terms:

Currency Exchange Rate Charges, Credit Card Charges and other similar expenses will be deducted from any refunds made.  Cancellations after the start date of the course, for any reason, will not receive any refund of course fees. Please note the insurance details in section 5.

5. Insurance
Insurance is not included in the fees. The Student must be comprehensively insured to cover medical treatment, repatriation, personal/public liability, personal accident, damage/theft/loss of personal belongings, legal expenses and recovery of course fees and flights booked in the event of cancellation.  The student must also agree to repay any extra expenses incurred by the Oxford Summer Academy in any of these circumstances. EU Nationals must bring valid EHIC Card to cover medical expenses in the UK.  

6. Students' Responsibilities
The Student agrees to provide satisfactory references if the Oxford Summer Academy requests these.  The Student agrees to behave courteously, considerately and co-operatively towards tutors, staff and other students.  The Student agrees to fully compensate the Oxford Summer Academy for any loss or damage caused to premises, property or person caused by The Student.  The Student agrees to advise the Oxford Summer Academy of any special medical, educational, accommodation, dietary or any other special requirements at least 30 days before the start of the programme.  The Student agrees to sign a contract, with the Oxford Summer Academy, at the commencement of the program, in which they agree to abide by the programme’s rules.  The Oxford Summer Academy reserves the right to suspend or dismiss any Student whose behaviour is considered to be unacceptable. In the event of a Student being suspended or dismissed, there will be no refund, or reduction, of course fees.

7. Limitation of Liability
The Oxford Summer Academy shall not be liable to the Student for any damages, loss, costs, expenses, claims or except for death or personal injury resulting from proven negligence in an English court of law of the Oxford Summer Academy, its employees or suppliers whilst acting within the scope of or in the course of their employment or contract.

8. Force Majeure
The Oxford Summer Academy will not be deemed to be in breach of this Contract or otherwise be liable to the Student for non-performance or delay in performance of any obligation under this Contract arising out of circumstances beyond its control of which it has notified the Student.

9. University IT and Network
The Student undertakes to indemnify the Oxford Summer Academy from and against any and all losses that the University of Oxford may suffer, and which are the result of the use of the University's IT and Network facilities by persons who gain access to those facilities through services provided by the University of Oxford.  The Student agrees to be bound by the University of Oxford code of practice covering the use of email and the Internet. Students using the services must be made aware of these regulations which are available on the University website http://www.ox.ac.uk/it/rules/rules.htm. Improper use of email or the Internet may result in the Student being asked to leave the course and the University of Oxford.

10. Law and Jurisdiction
This agreement between the Oxford Summer Academy and The Student will be subject to English Law and to the exclusive jurisdiction of the English Courts.

11. Alterations
The Oxford Summer Academy reserves the right to make alterations without prior warning to their academic, cultural and social timetables depending on the availability of tutors and other staff, and external availability.  If the Student wishes to change their booking the Oxford Summer Academy will always do their best to accommodate such requests but cannot guarantee that changes will be possible.

12. Visas
The Student is strongly advised to ensure that he or she has an appropriate visa for study in the UK covering the course dates and that they can comply with all other UK entry requirements before payment of any fees as under no circumstances will any refund be made.

13. Marketing
We like to keep our customers informed about all our forthcoming courses. We would like to keep your details on our database until your youngest child has finished their pre-university education, if you could provide us with the year that your youngest child finishes that would be much appreciated, otherwise we will use our default of 5 years. You can of course ask to have your details removed at any time. Please note that we will never sell your contact details outside of our organisation and will only send information relating directly to our courses or courses run by our sister organisations Oxford International College and Oxford Science Studies.
